Office Manager

The Office Manager is responsible for keeping the office running smoothly and overseeing administrative support. The job also includes supporting the Managing Director, managing his agenda & assisting in his daily activities. The ability to interact with employees on a daily basis while maintaining a positive attitude in a fast paced environment, while remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills in both Arabic & English, strong decision making ability and attention to detail are equally important.

Responsibilities of Office Manager include, but are not limited to the following:

  • Report to the Managing Director for the METNA Region
  • Assist the Managing Director in daily activities and manage his calendar
  • Coordinate domestic & international travel
  • Organize & coordinate office operations & procedures to ensure organizational effectiveness and efficiency
  • Supervise the maintenance of office areas and equipment, as well as layout, arrangement & housekeeping of office facilities
  • Being the first point of contact for any issues that might arise in the office on a daily basis
  • Maintain the support of the HR department with the new hires and other employee related issues
  • Help in the orientation of new hires

Tactical Responsibilities include:

  • Owning the loaner laptops stock including handing over and receiving laptops from local team members
  • Keeping a detailed tracker of all owned assets
  • Help with ordering IT equipment, Laptops & peripherals
  • Coordinate with IT department on all office equipment


  • Support with security needs for the site
  • Evaluation and preparation of budgets related to Facilities Management and office supplies
  • Manage relationships with vendors, service providers and landlord
  • Keeping track of all office documents and their validity
  • Maintain a safe & secure Workplace by ensuring that VMware’s Health & Wellbeing Guidelines are applied
  • Manage multiple projects simultaneously.

Office Manager Qualifications

  • Minimum 3 years of high level, office management work experience.
  • Experience with extensive international and domestic travel arrangements
  • Discretion, diplomacy and excellent judgment
  • Polished, professional demeanor and exceptional poise under pressure
  • Positive and personable with strong interpersonal skills and an upbeat, “can do” attitude
  • Ability to manage multiple projects simultaneously with meticulous attention to detail
  • Advanced proficiency with MS Office Suite
  • Highly organized with the ability to perform multiple tasks and handle changing priorities successfully in a fast paced environment with little direct supervision
  • Must possess a high degree of integrity when dealing with confidential and sensitive information
  • Must be able to work with individuals at all levels of the organization
  • Excellent verbal and written communication skills in Arabic & English
  • Bachelor degree preferred
